This guide will walk you through adding a new employee hired through our Employer of Record (EOR) service into the platform, and inviting them to begin their onboarding process.
Before You Begin
Make sure you have:
The employee’s full legal name and email address
Their start date
Their job title and employment type
Agreed compensation details (salary, currency, pay frequency)
The correct work location (country, city)
Any special onboarding notes for the employee
⚠️ The onboarding process will collect personal and compliance information directly from the employee, so you don’t need their bank or tax details at this stage.
Step 1 – Log In as a Company Admin
Sign in to the platform with your Company Admin credentials.
From the left navigation bar go to People > Add New Hire
Select Hire Under EOR and click Start
Step 2 – Enter Employment Details
Fill in the required fields:
Country of Hire: Select the country of hire for the EOR employee.
⚠️ Only countries that have been activated for your account will be available to select. If you want to hire an EOR employee in a new country, please contact your Account Manager.
State/Province: Must match the country where the employee will be legally employed
Start Date
First Name, Middle Name (Optional) and Last Name (must match legal ID)
Personal Email (used for onboarding invitation)
Payroll Type:
Social Security Information
2. Select whether the EOR employee is an existing employee or not and then click Continue.
Step 3 – Add Role Information
Use the drop-down menus to complete the required Role Information for the EOR Employee and Employment Details.
⚠️ Remember that you must set up your organization structure before adding new employees. This way you will be able to select their appropriate Department, Role, etc.
Step 4 – Add Compensation
Add the Currency, Payment Type, and Annual Gross Salary. You have the option to select the local currency for the country of hire or your organization's local currency. This is meant to help you budget for the role.
Add any Variable Payments, Recurring Payments and/or Annual Leaves.
Select whether the employee is Eligible for Equity Compensation. If yes, enter the equity information.
Click Continue
Step 5 – Upload Required Documents
Upload the offer letter, prepared by Globalli. This is required.
⚠️ The Employment Agreement is automatically generated for the employee to sign and will directly reference their offer letter, which contains important details including their start date, job title, and salary.
Upload any additional documents for the employee to sign outside of standard onboarding documents. This is not a required.
Add any links you would like the employee to access. This is not required.
Click Continue
Step 6 – Review Offer Summary
Review the offer summary including Refundable Deposit and Licences
If you require additional licences, add the appropriate type - User, Manager, or Admin
Select your Payment Method
Click Pay and Send Offer
The employee will receive an email with a secure link to the onboarding portal, where they will:
Acknowledge EOR employment terms
Provide personal and tax information
Upload identity and work authorization documents
Set up their payment method
Sign their employment agreement
💡 You’ll be able to track their onboarding progress in Employee Status.
Step 7 – Monitor Onboarding Status
Go to People from the left navigation bar to review all employees and their current status. The filter option at the top of the page makes it easy to filter on a particular status.
Statuses include:
Pending - has not yet been invited to onboard
Invited – awaiting action
Onboarding – onboarding is in progress
Active – onboarding complete, ready for payroll inclusion
Declined - rejected the onboarding terms
Offboarding - in the process of offboarding
Terminated - has been terminated
FAQs
Q: Can I change details after sending the invitation?
A: Yes, you can update certain fields (e.g., manager, department) before the onboarding is completed. To change critical details like location or start date, contact Support.
Q: The employee didn’t receive the invitation email.
A: Ask them to check spam/junk. If it’s still missing, go to the employee record and click Resend Invitation.
Q: What if I need to hire an EOR employee in a new country?
A: Contact your Account Manager to confirm EOR service availability in that country before creating the record.
