1. Define the Policy
First, specify the basic details of your policy:
Choose whether you are creating a new policy or replacing an existing policy.
Select the countries where the policy applies.
Enter a Policy Name.
Enter a Display Name. This is the name employees will see when viewing or requesting time off.
Select an Effective Date for the policy.
2. Select the Policy Type and Category
Globalli allows you to create different types of policies, including Paid and Unpaid time off, along with associated categories. Create a separate policy for each applicable category. For example:
Vacation
Sick
Parental
Volunteer
Other organization-specific categories
Creating separate policies for each category allows you to configure the rules and eligibility requirements independently.
3. Configure Policy Tiers
You can create different tiers within a policy to accommodate different employee eligibility or allocation rules. For example, you could create vacation tiers based on years of service:
Employees with less than 1 year of service receive one allocation.
Employees with 1–5 years of service receive a different allocation.
Employees with more than 5 years of service receive a higher allocation.
Configure the tiers and associated allowances according to your organization's policy.
4. Set Request Restrictions
Configure the rules that determine when and how much time employees can request.
You can:
Set blackout dates when requests are not permitted.
Set a minimum number of days that can be requested.
Set a maximum number of days that can be requested.
These settings help ensure employee requests follow your organization's scheduling and time-off requirements.
5. Configure the Approval Process
Next, configure how requests are reviewed and approved.
You can specify:
Whether time-off requests require approval.
Whether employees must provide advanced notice before submitting a request.
Configure these settings based on your organization's approval and scheduling requirements.
6. Review and Create the Policy
Review the policy details and settings to make sure they accurately reflect your organization's requirements. When you are finished, save the policy.
7. Assign the Policy to Employees
Once the policy has been created, you can assign it to your employees.
Make sure the appropriate employees are assigned to each policy so that they can access the correct time-off categories, allowances, and request rules.
Best Practices for Country-Specific Compliance
When creating policies for employees in different countries, configure each policy based on the minimum statutory requirements applicable to that country.
Before setting up a policy, you can reference Globalli's Country Profile to review the applicable country requirements and use that information as a starting point for configuring your policy.
Consider the following best practices:
Review the Country Profile: Use Globalli's Country Profile to review the statutory leave and time-off requirements for the applicable country before creating your policy.
Create country-specific policies: Where statutory requirements differ, create separate policies for each country rather than applying a single global policy.
Start with the statutory minimum: Determine the legally required entitlement for each applicable leave category before adding any company-provided benefits.
Check all applicable jurisdictions: Confirm whether additional regional, provincial, state, or local requirements apply to your employees.
Account for eligibility and tenure requirements: Check whether statutory entitlements change based on an employee's length of service, employment status, or other eligibility criteria. Use policy tiers where appropriate.
Configure statutory leave separately: Keep legally required categories such as vacation, sick, and parental leave separate where this makes the requirements easier to manage and audit.
Use the Effective Date: When legislation or company policies change, use the appropriate effective date so that the correct rules apply going forward.
Review policies regularly: Country requirements can change. Periodically review your policies against the latest information in Globalli's Country Profile and applicable local requirements.
Tip: Use Globalli's Country Profile as a reference when setting up policies for a new country or reviewing an existing policy. Always ensure the final policy reflects your organization's current legal and HR requirements.
